What's the proper format for a quote?

A clear quote has 5 parts: who it's from and for, a quote number and expiry date, itemized lines, totals with tax and deposit, and the terms the price depends on.

Put the expiry date at the top. Material prices move, and a quote with no end date can get held up against you months later. This 2026 template puts it at the top, next to the quote number. Pick a window you can honor.

Is a signed quote a binding contract?

A quote your client signs to accept can work as a contract when it states the work, the price and the terms, and that's why this template has 6 terms and 1 acceptance line.

The line above the signature says the client accepts the price and terms and authorizes the work. Without it you have a price on paper and a verbal yes. Home-improvement work can carry extra state rules on what a contract must say, so check yours before a quote is all you rely on.

What's the difference between a quote and an estimate?

A quote is a set price for 1 defined job, good until a date. An estimate is your best guess, and the final bill can land above or below it.

Clients read them differently, so label yours right. If the price can move, call it an estimate and say what would move it. This template is a quote: section 2 holds the price until the expiry date.

How does a client approve a quote online with EsigIt?

Your client approves it in 4 steps: open the link, enter the 6-digit code EsigIt emails them, read the quote, and sign on their phone.

You pay $1.99 when they sign. If they never sign, you pay nothing, which matters when you send 10 quotes to win 3 jobs.

  1. Fill in your part. Download the PDF or copy the text into Word or Google Docs, fill in every red [BRACKET] that's yours, and save it as a PDF.
  2. Upload it to EsigIt. Or press Send it for signature to start from the blank template and add a text field for each blank your client fills in.
  3. Add who signs. Type each signer's name and email, then drag the signature and date fields onto the signature lines.
  4. Send. Your client opens the link, enters a 6-digit code EsigIt emails them, reads the whole document and signs on their phone. You both get the signed PDF.

This is not legal advice. The template is a starting point, and state laws differ on deposits, contractor licensing and home-improvement contracts. Have a lawyer in your state review it before you rely on it.

Yes. Copy it, download the PDF, print it and edit it. You pay EsigIt $1.99 only if you send it through EsigIt and your client signs.
Can I add more line items?
Yes. The PDF has 4 rows so it stays on 1 page. Copy the text into a document or spreadsheet and add as many rows as the job needs.
